Role overview This position owns the intake discipline for an AI platform serving plaintiff law firms, treating the first client contact as the highest-leverage moment in the case lifecycle. The role blends legal-operations expertise with hands-on configuration of AI voice agents, telephony integrations, CRM handoffs, and e-signature workflows, and carries direct responsibility for the firms' experience during onboarding.
Responsibilities - Customize AI voice agents end-to-end per firm, including personality, knowledge base, objection handling, case-type-specific questions, transfer rules, staff directories, and call/lead scoring. - Stand up the full intake stack with integrations engineering: phone system connections (such as RingCentral-class platforms), CRM and document management handoff (such as Clio Grow, Lead Docket, or Smart Advocate), and e-signature setup so retainers can be sent and signed while the client is still on the line. - Define what "fully onboarded" means for intake — checkpoints, sequencing, and judgment calls — so accounts land in a stable, working state. - Convert hands-on learnings into training and documentation that raise the team's overall intake capability over time. - Manage a portfolio of intake-focused accounts, including intake-only and expansion-style engagements where specialized setup is required.
Requirements - J.D. or prior role in legal operations at a plaintiffs' firm of meaningful size. - Real-world command of intake mechanics: call flows, lead qualification, objection handling, and case-viability judgment. - Comfort configuring and iterating on AI-driven workflows, not only describing how intake should work. - Strong documentation habits that turn personal expertise into reusable team playbooks. - Proven ability to collaborate across functions with customer success, integrations engineering, and clients directly.
Nice to have - Direct experience with legal intake or voice AI platforms (RingCentral, Clio Grow, Lead Docket, Smart Advocate, or comparable tools). - Consulting background layered on legal or intake operations experience. - Experience training non-technical teams on new workflows or tools.
