Role overview
This remote position supports the operational backbone of a bookkeeping services business, with a focus on system integrity, data accuracy, and cross-team coordination. The specialist enables financial reporting workflows, manages third-party integrations, and contributes to automation efforts that span the organization.
Responsibilities
- Set up and maintain client bank and payroll account integrations within bookkeeping and password management platforms, troubleshooting issues with clients and external vendors. - Support onboarding activities, internal system configuration, and periodic maintenance of financial reporting dashboards. - Manage project board folders, perform regular backups, and keep client contact records current across CRM and newsletter tools. - Provide operational and systems support across departments during peak processing periods, annual setups, and year-end reporting. - Contribute to AI and automation initiatives, including workflow documentation creation and ongoing maintenance. - Assist with special client communications and retrieve membership or contract data on request.
Requirements
- Bachelor's degree in Accounting, Information Systems, Business Administration, or a related field, or an equivalent combination of education and experience. - Minimum of three years of experience in accounting, bookkeeping, financial operations, business systems support, or data management. - Hands-on experience supporting business applications, system implementations, or enterprise software. - Advanced proficiency in Microsoft Excel, including formulas, lookups, and data analysis. - Proficiency with Microsoft Office 365 and familiarity with AI tools such as ChatGPT or Claude. - Must be authorized to work in the United States for the duration of employment without requiring current or future visa sponsorship.
Nice to have
- Experience with reporting, automation initiatives, or business intelligence solutions. - Familiarity with QuickBooks Online, CRM systems, Monday.com or similar project management platforms, and cloud-based business applications. - Background in accounts payable, general ledger, payroll, or pension operations. - Experience providing technical support and training to end users.
