Role overview This position coordinates a portfolio of AI-related initiatives running across multiple business teams, keeping cross-functional work on schedule and aligned with shared program goals. The focus is execution and stakeholder coordination rather than building AI models, with an emphasis on helping the organization move toward agentic-first operations.
Responsibilities - Maintain a live tracker of active AI projects across business functions, including status, timelines, owners, and dependencies - Support intake, scheduling, and prioritization of new AI project requests based on direction from sponsors and leadership - Organize regular status check-ins and working sessions, and sequence dependencies across projects in the program - Prepare leadership-ready summaries, RAID logs, and other reporting materials on project progress and risk - Maintain templates, runbooks, and trackers for common AI project types such as workflow automation and agentic tooling rollouts - Onboard team members to established tools and provide day-to-day coaching on processes
Requirements - 4-5+ years of experience in program or project management coordinating cross-functional business or technology projects - Background managing a portfolio or program of related projects, not only single-project delivery - Experience partnering with business teams such as Finance, Product, or Customer Success - Working knowledge of project management tools (e.g., Jira, Asana, Smartsheet) and practices like RAID logs and status reporting - Basic familiarity with AI and agentic tools and workflows, sufficient to coordinate work and support team upskilling - Strong organizational and communication skills with the ability to manage multiple concurrent workstreams and follow through on action items
Nice to have - PMP or similar project management certification - Experience with change management or training program coordination - Familiarity with agentic AI tools or workflow automation platforms - Exposure to Agile/Scrum delivery methods - Experience with compliance or governance tracking processes - Background in fast-growing organizations undergoing AI adoption
