Role overview A Project Coordinator position supporting cross-functional teams that build K–12 instructional experiences. The role centers on keeping complex educational product workflows organized, visible, and on schedule, serving as the operational backbone that allows creators to focus on their craft in a fast-paced, mission-driven environment.
Responsibilities - Maintain the source of truth across project plans, design boards, trackers, and meeting agendas, ensuring stakeholders always know current state and next steps - Capture high-quality meeting notes, synthesize clear action items, and follow up across cross-unit and cross-team documentation and communications - Track deliverables across project stages, flag gaps or delays, and ensure smooth handoffs between functions aligned with the project schedule - Spot small bottlenecks such as missing assets and resolve them within 24 hours or less - Champion rigorous file and asset tracker hygiene, enforcing naming conventions, folder structures, and pipeline timeliness in partnership with the Design team - Identify potential blockers early and escalate to the Senior Project Manager before timelines are affected
Requirements - 2+ years of experience in administrative, coordination, or project support roles, managing multiple tasks, deadlines, and stakeholder communications - Bachelor's degree in business, communications, project management, education, or a related field, or equivalent combination of education and experience - Strong organizational skills with meticulous attention to detail and accurate documentation across multiple systems - Proficiency with Smartsheet, Microsoft Office or Google Workspace, and willingness to learn new software quickly - Excellent written and verbal communication skills, with clear and concise updates for cross-functional teams - Proactive problem-solving style with the ability to identify bottlenecks, follow up independently, and suggest process improvements - Genuine interest in K–12 education and curriculum development
Nice to have - Experience in education, publishing, or EdTech environments - Background in high-volume production environments
