Production Specialist

Role overview

A global B2B gifting and branded merchandise platform is hiring a Production Specialist to coordinate end-to-end sourcing and delivery of personalized swag for enterprise clients. The role sits within the sourcing team and partners closely with a Project Lead to manage proofs, approvals, vendor coordination, and fulfillment across multiple international markets. It is well suited to an organized coordinator who enjoys fast-paced, client-facing work in a startup-style environment.

Responsibilities

- Drive the full lifecycle of branded merchandise orders, from product sourcing and proof generation through final delivery to clients and warehouses - Coordinate with multiple vendors, reconciling details against purchase orders to confirm pricing, decoration specifications, and shipping information - Prepare and present client proposals alongside the Project Lead, providing regular progress updates that build trust and encourage repeat business - Liaise with couriers to schedule deliveries, prepare customs documentation, and confirm on-time arrival domestically and internationally - Track order details and billing throughout production to maintain accuracy and meet key service-level commitments - Assign tracking numbers, share logistics updates with clients, and reconcile shipping invoices post-delivery

Requirements

- At least two years of experience in the branded merchandise or promotional products industry - Hands-on expertise with industry software such as CommonSKU, Hoops, or MPower Promo - Proficiency in a vector artwork tool such as Adobe Illustrator or Affinity Designer - Familiarity with CRM platforms like Salesforce or HubSpot - Background producing personalized or printed hard goods and apparel, with a working understanding of design principles - Strong communication and prioritization skills, comfortable managing multiple work streams across internal teams and external clients
